1. Introduction and Scope
The Toronto Limo ("The Toronto Limo," "we," "us," or "our") is a transportation service operated by Kuro Inc. This Privacy Policy explains how we collect, use, disclose, safeguard, retain, and otherwise handle personal information in connection with our website at thetorontolimo.com, quotations, reservations, payments, customer communications, and private ground transportation services in Toronto, the Greater Toronto Area, Ontario, and other destinations covered by confirmed bookings.
Our services may be performed using vehicles operated by our business or, when needed, by licensed and insured local transportation partners. This policy applies to personal information handled by The Toronto Limo; an independent operating carrier may also have its own privacy obligations and notices.
We aim to comply with applicable Canadian privacy laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA), where applicable, and Canada's Anti-Spam Legislation (CASL). This policy does not replace rights provided by law.
2. Information We Collect
Information you provide
We may collect your name; email address; telephone number; billing and business contact details; pickup, drop-off, and intermediate addresses; dates and times; flight numbers and terminals; passenger counts; vehicle preferences; luggage details; child-seat requests; accessibility accommodations; itinerary instructions; reservation history; messages, complaints, and feedback; and other information you choose to share when arranging transportation.
For corporate bookings, we may also collect company names, authorized booking contacts, passenger manifests where needed, billing references, and account-related information. If you book on someone else's behalf, you should have authority to provide the relevant passenger information.
Payment and transaction information
We may collect payment status, amounts, billing details, invoice records, payment method type or limited card details made available by a processor, transaction identifiers, refund records, and fraud-prevention information. We may use different approved payment processors and methods; we do not commit to any one provider. Full payment-card details should be entered only into an authorized secure payment interface, not sent through ordinary email or contact forms. We do not intentionally store complete card numbers submitted through our standard website inquiry forms.
Website and technical information
Our website, hosting services, and enabled analytics or security tools may collect IP address, device and browser details, operating system, referring page, pages viewed, interaction events, approximate location inferred from IP address, timestamps, cookies or similar identifiers, and diagnostic logs.
Information from other sources
We may receive reservation details from hotels, concierges, travel agents, event organizers, corporate travel managers, family members, payment providers, dispatch systems, or transportation partners when relevant to a booking.
3. Why We Use Information
We use personal information as reasonably necessary to: prepare quotations; accept and manage reservations; assign chauffeurs and vehicles; coordinate pickup and flight information; communicate confirmations, arrival instructions, delays, and changes; process payments, refunds, and invoices; respond to questions and complaints; provide accessibility accommodations; maintain safety and operational records; investigate incidents, fraud, or disputed charges; improve our website and services; manage business relationships; meet accounting, tax, and legal requirements; and protect or exercise legal rights.
We may send promotional communications only where permitted under CASL and other applicable law. Booking-related or transactional messages are distinct from promotional marketing.
4. Consent and Choices
We obtain consent where required, taking into account the sensitivity of the information and the context in which it is provided. A customer requesting a reservation understands that necessary booking details must be shared with the assigned chauffeur or transportation provider to deliver the service.
You may withdraw consent for certain uses or disclosures, subject to legal or contractual restrictions and reasonable notice. If consent is withdrawn for information essential to a booking, we may be unable to arrange or complete that service. We will explain relevant consequences where appropriate.
5. Vehicles, Chauffeurs, and Local Transportation Partners
The Toronto Limo may fulfill reservations with its own vehicles and chauffeurs or use licensed and insured local transportation partners when needed because of availability, vehicle class, location, schedule, or other operational requirements. We may disclose the passenger name, contact number, itinerary, pickup and drop-off details, flight number, luggage and passenger requirements, and relevant special instructions to the assigned operator and chauffeur.
We seek to share only what is reasonably necessary. Transportation partners may maintain their own dispatch, trip, regulatory, and insurance records as required by their operations and applicable law. They must not assume that receipt of booking details authorizes unrelated marketing to The Toronto Limo customers.
6. Other Disclosures
We may share information with providers that support payment processing, website hosting, booking and dispatch systems, cloud storage, email or messaging, customer service, accounting, security, fraud detection, analytics, and other legitimate operations. We may also disclose information to professional advisers, insurers, payment networks, regulators, courts, or law enforcement when authorized or required by law, or where reasonably necessary to address a claim or protect safety.
In connection with a lawful business reorganization or sale, information may be transferred subject to applicable privacy obligations. We do not sell customer contact lists or booking details to unrelated parties for their independent marketing.
7. Cookies, Analytics, and Advertising Technologies
The website may use essential cookies and similar technologies for functionality and security; analytics technologies to measure visits and website performance; and, if enabled, advertising or conversion-measurement technologies. The specific tools used may change. Their collection and processing depend on the website's actual configuration and applicable consent requirements.
You can manage cookies through browser settings and any controls presented on the website. Disabling some technologies may affect functionality. Online identifiers and analytics data may qualify as personal information; we do not assume they are always anonymous.
8. Marketing and Electronic Messages
We may send booking confirmations, invoices, chauffeur details, service updates, and other messages necessary for a requested service. Commercial electronic messages will be sent only where we have a lawful basis to do so. Where required, marketing messages will identify the sender and include a working unsubscribe mechanism. You may also request removal from promotional communications at booking@thetorontolimo.com. We will honour opt-out requests within the period required by law; transactional communications concerning active bookings may continue where permitted.
9. Payments and Fraud Prevention
The Toronto Limo may use one or more secure third-party payment processors or other approved payment arrangements. The processor may handle cardholder data directly under its own terms and privacy practices. The Toronto Limo may retain transaction references, receipts, limited payment details, and records reasonably necessary for accounting, refunds, fraud prevention, and payment disputes. We may provide relevant booking and service evidence to a payment processor or financial institution when responding to a dispute, subject to applicable law.
10. Sensitive Information, Children, and Accessibility
We may receive limited information concerning child-seat needs, mobility requirements, service animals, or accommodations necessary for safe transportation. Please provide only information relevant to the service and avoid sending unnecessary medical records. We use such information to arrange appropriate transportation and share it only with personnel or providers who reasonably need it.
Our website is directed to adults arranging transportation, including adults booking for children. We do not knowingly solicit children's information for independent marketing purposes.
11. Trip, Dispatch, GPS, and Camera Records
Our vehicles or those of local transportation partners may use dispatch logs, GPS or route records, timestamps, and other operational systems for scheduling, safety, service verification, and incident response. Some vehicles may have cameras subject to the operating provider's policies and applicable law. We do not claim that every vehicle has GPS tracking or audio/video recording. If The Toronto Limo receives these records, we use and retain them only for appropriate operational, safety, billing, investigation, or legal purposes.
12. Storage and Processing Outside Canada
Some vendors or service providers may process or store personal information outside Ontario or Canada. Information processed in another jurisdiction may be subject to its laws, including lawful access requests. We use reasonable measures to assess and protect information entrusted to service providers and provide any notices or choices required by applicable law.
13. Retention and Disposal
We retain personal information for as long as reasonably necessary for the purpose collected, customer support, accounting and tax compliance, safety, dispute resolution, legal obligations, or legitimate business requirements. Retention varies by record type: transaction and tax records may require multi-year retention; booking and communication records may be retained while needed for service or claims; analytics and technical records depend on configured retention periods; and incident records may be retained while investigations or legal matters remain open.
When information is no longer needed and no lawful retention obligation applies, we take reasonable steps to delete, destroy, or de-identify it. We do not promise fixed retention periods that our actual systems may not support.
14. Security and Breach Response
We use safeguards appropriate to the information handled, which may include encrypted website connections, access controls, authentication, limited staff access, secure payment interfaces, vendor controls, and operational security procedures. No online service or storage system is completely risk-free. Where a privacy breach triggers notification, reporting, or recordkeeping duties, we will comply with applicable law.
15. Access, Correction, and Withdrawal Requests
Subject to applicable law, you may request access to personal information we hold about you, ask us to correct inaccurate information, withdraw certain consents, or request deletion of information that is no longer needed. We may verify your identity before responding. Legal, contractual, privacy, or security exceptions may apply. We will respond within applicable statutory time limits and explain any lawful refusal where required.
Send requests to booking@thetorontolimo.com, marked Privacy Request.
16. Third-Party Websites
Our website may link to payment services, social networks, review platforms, or other third-party websites. Their separate privacy practices apply when you interact with them. We are not responsible for the practices of sites we do not control.
17. Administrative and AI-Assisted Tools
The Toronto Limo may use software, including automation or AI-assisted administrative tools, to organize inquiries, draft responses, analyze website performance, or support operations. Where such tools process personal information, we aim to limit information to what is reasonably needed and apply appropriate safeguards. Customers can contact us for assistance with service concerns. We will not represent automated decisions as human decisions where that distinction is material.
18. Complaints and Regulatory Rights
Please contact us first if you have concerns about our privacy practices. You may also have the right to complain to the Office of the Privacy Commissioner of Canada or another competent regulator, depending on the issue and applicable law. We will cooperate with lawful privacy inquiries and investigations.
19. Changes to This Policy
We may update this Privacy Policy to reflect changes in services, technology, business practices, or law. The current version will be posted on our website with its updated date. Where legally required, we will provide additional notice or obtain consent before materially changing how information is handled.
